Privacy Policy
Last updated: October 30, 2026
This policy explains what personal information Cool Carts Rental, Inc. (“we”, “us”) collects when you book a rental on this website, how we use it, who we share it with, and the choices you have.
We use your personal information to run your rental. By using this website to book, you agree to this policy.
Words we use
- Personal information is any information about you, such as your name, phone number or address.
- Service provider is a company that does a job for us, such as sending email or hosting our website.
- Your rental page is the private page we give you to see and change your booking.
Information we collect
Information you give us
- Your name, email address and mobile phone number.
- The address where we deliver the cart.
- The cart you choose and your start and end dates.
- For each driver: name, date of birth, driver’s license number and the state or place that issued the license.
- Your signature on the rental papers: the name you type, and the drawing if you draw one.
- Which house rules you agreed to.
- Your choice about text messages, and the time you made it. You make it in the box on the mobile number step, or by telling our staff if they book for you by phone.
- The details of any payment, as described under Payments below.
Information we record when you sign
When you sign the rental papers, we save the exact text you signed, the date and time, your IP address and your browser details (the “user agent”). We keep this as proof of the agreement.
Information collected automatically
We keep a copy of the emails and text messages we send you.
If you use the page that texts you your rental link, we keep your IP address, and a scrambled form of the phone number you type, for about a day. We use them only to limit how many tries one person can make.
Like any website, our server receives your IP address, your browser type and the pages you ask for. Cookies and similar tools are described under Cookies and similar tools below.
Payments
You can pay us directly, for example by cash. We write down the amount, the date and how you paid.
This website does not take card or bank details.
How we use your information
- To book, deliver, pick up and manage your rental.
- To check that each driver is old enough and holds a valid license.
- To keep your signed papers as a record of the agreement.
- To take payments, give refunds and charge fees that your rental papers allow.
- To contact you about your rental by phone, email and text message.
- To answer your questions and requests.
- To keep records that the law, tax rules and dispute resolution need.
- To protect our carts, our website and our customers from loss, fraud and misuse.
- To count visits and see which pages work.
- To measure how well our ads work.
Text messages
We send text messages about your rental only, such as confirmations, reminders, other notices about your rental and links to your rental page. Message frequency varies. Message and data rates may apply. Reply STOP to stop, HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
We send texts through GoHighLevel (LeadConnector), a service provider that carries the messages for us. When you give us your mobile number, you can say yes to texts about your booking. You do not have to say yes to rent a cart.
You can stop texts at any time by replying STOP to any message. Reply HELP for help, or call us at (772) 262-8273.
Cookies and similar tools
- Your booking. When you answer the first booking question, we put a cookie in your browser so we can remember your unfinished booking. It keeps a random code, not your name. Your browser keeps it for up to 30 days. Booking does not work without it.
- Install message. If you close the “add to home screen” message, your browser remembers that on your device so we do not show it again.
- Our staff. The pages our staff use to sign in set their own cookies. Renters do not get them.
PostHog
We use PostHog to count visits and see which pages work. Its script runs on our public pages and booking pages. It does not run on your private rental page. Its messages go to PostHog through our own web address, so they pass through our server first.
- It keeps campaign tags and ad-click IDs (such as gclid and fbclid) that come in the page address, so we can see which campaigns bring visits.
- It records the page you view, the website you came from, your screen size, when you click a call or email link, and when you start or send a form. For a form it records only the form’s name, never what you typed. Your rental page link is replaced with a placeholder before anything is recorded.
- It keeps a random visitor code in your browser’s local storage. It does not set a cookie. The code is not tied to your name, email or phone number.
- Our server passes your IP address to PostHog so PostHog can show roughly where visitors are.
- When you finish a booking, our server sends PostHog one message with the booking number, the amount, how you paid, and a scrambled customer number. It never contains your name, email or phone number.
- If your browser sends a Do Not Track or Global Privacy Control signal, the PostHog script does not run. The booking message comes from our server, so that signal does not change it.
Google and Meta tools
When you send the first booking form, Tag Manager’s loader also sets one cookie, cartrent_bb, but only if your browser blocks session storage. It holds the number 1, lasts until you close the browser, and is used to count one booking start per visit.
We use Google Tag Manager, Google Analytics 4 and the Meta (Facebook) Pixel on our public pages and on the booking steps where you pick dates, times and a cart, before you give an address. They do not run on the booking steps where you type or see your personal details (the delivery address, your name, mobile number and email, the driver’s details, the review, the signing step and the payment step), and they do not run on your private rental page, the booking-lookup page or the offline page. They set cookies in your browser. They send Google and Meta information about your visit, such as the pages you view, your device and browser, your IP address and your rough location. We use them to see which visits become bookings and to measure and improve our ads. Google and Meta may also use this information under their own policies. If your browser sends a Do Not Track or Global Privacy Control signal, Tag Manager does not load, so none of these tools run in your browser. Our server also sends Google Analytics two short messages: one when you reserve your cart or start a payment, and one when your booking is complete. Each has the amount and a visitor code from Google’s cookie if you have one, and the second also has the booking number. Neither has your name, email or phone number. They come from our server, so these signals do not change them.
To opt out, you can also:
- Block or delete cookies in your browser settings.
- For Google Analytics, install Google’s opt-out browser add-on: tools.google.com/dlpage/gaoptout.
- For Meta, change your ad settings: facebook.com/adpreferences.
Who we share your information with
We do not sell your personal information for money. We share it only as follows.
- Service providers that work for us: our hosting company, the private cloud storage where we keep backups, Mailgun (email), GoHighLevel (LeadConnector) (text messages), PostHog (visit counts), and Google and Meta (visit counts and ads). They may use your information only to do their job for us, except that Google and Meta may also use it under their own policies.
- When the law requires it, or when we believe in good faith that we must share it to protect our rights or property, prevent fraud or wrongdoing, or protect anyone’s safety.
- In a business sale or transfer. If the business is sold or merged, your information may go to the new owner.
Some states treat the use of advertising cookies as “sharing” or “targeted advertising”. You can opt out of them with the steps in the Google and Meta tools section above.
We do not share your mobile number or your text-message consent with anyone for marketing.
Where your information is kept
Your information is stored on our server. Once a day we copy it to a private cloud storage bucket as a backup. Backups are deleted after 30 days. Our service providers may process your information in other places. By using this website you agree to that.
How long we keep it
- An unfinished booking stays saved for up to 30 days after your last change, so you can come back to it. We delete it after that. Our staff can see recent unfinished bookings, with your first name and your phone and email partly hidden, to see where bookings stop.
- Everything else, such as your booking, signed papers and payment records, we keep as long as we need it for the rental, for legal and tax rules, and to settle disputes.
Security
We work to protect your information. Our pages travel over an encrypted (HTTPS) connection. Only staff who sign in can see all bookings. No website or storage system is completely safe, so we cannot promise absolute security.
Your rights and choices
- Text messages. Reply STOP to any text to stop them.
- Access, correction and deletion. You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email us at robert.hamilton1967@gmail.com or call (772) 262-8273. We may need to check who you are first. We answer within 30 days. We may have to keep some records, such as signed papers and tax records, because the law or a dispute requires it.
- Your state’s laws. Residents of some states have more rights under state law, such as the right to know, delete, correct and opt out. We honor those rights. We do not sell your personal information for money.
- Browser settings. You can block or delete cookies in your browser. Parts of this website may not work without the booking cookie.
Children
Our service is not for anyone under 18. Drivers must be at least 21 years old. We do not knowingly collect personal information from anyone younger than that. If you think we have, please contact us and we will delete it.
Links to other websites
This website may link to other websites that we do not run. We are not responsible for their privacy practices. Please read the policy of each site you visit.
Changes to this policy
We may update this policy from time to time. We will post the new policy on this page and change the “Last updated” date.
